Frequently Asked Questions
Q. Do
I have to scan in all my records before I can use the system?
A. Although
some firms have decided to do that, there is another less
aggressive approach. Scan in the patients on tomorrow's schedule.
And you will gradually be eliminating the active patients.
Q. How
long does it take to scan in the records?
A. There
are several factors to consider:
- What is average number of pages
in a patient's folder? To find this out pull out 100 folders
and count the pages. Many find (including all the billing
documents) an average of 40 - 50 pages per folder.
- Next how many patients per
day does the doctor see? Simply take a count of the patient's
seen for the past few weeks. If the average come to 40 patients
with 45 pages that would be 1,800 pages. Using a 25-ppm
scanner and creating the electronic patient folder this
would take about 3 hours.
- We have a calculator that integrates all the various factors and determines how many pages per day you can expect to process. Those variables include work load, documents created and scanner speeds; all factored into the equation..
Q. How
do I access these records once they are scanned and destroyed?
A. This
is the BIG question. Some doctors only need to review their
last page of notes and in those cases that page of the patient's
record could be printed. However, a better solution is the
wireless "Tablet PC". The "Tablet PC" is a laptop convertible.
With a click of a button the screen LCD is switched from a
laptop to a tablet. It looks and acts like a piece of paper.except
with the touch of the writing instrument ALL the patient's
records are available. Even better you write on it just like
on paper and a copy is saved with the patient's records and
optionally a copy is printed out for the billing clerk. A
major side benefit it that you can access these records from
anywhere (web available) at any time.vacation, home, even
gold if your wireless let's you.
Q. I
have many of my records already on the computer, do I have
to print them and then scan them?
A. No,
the unique software allows you to put them directly into the
proper electronic folders. In fact almost anything that can
be printed from windows (word, excel, email, faxes, etc.)
is automatically converted into a print images as it is being
stored. The print image is a permanent record and cannot be
altered, thus providing additional security.
Q. Would it be alright if we included a link to the U.S. Department of Health and Human Services Web site on our organization's (agency's, company's) Web site?
A.
In general, yes. The Web site of the U.S. Department
of Health and Human Services (HHS) is a Federal Web
site and is made available to everyone freely and without
cost to the public. Organizations, agencies, groups,
and companies may feel free to include links to the
HHS Web site without the need to contact HHS. However,
a number of HHS sites provide links to private sites.
Please be sure if you access a Web site through the
HHS site that you have not left an HHS-sponsored Web
site. We do our best to let you know when a link is
taking you off of our HHS-sponsored Web sites. Also,
some HHS sites, such as Medlineplus
and Healthfinder®
have special link requirements.
